Preschool Administrator & Receptionist

Duties and responsibilities

The responsibilities of the Preschool Administrator may include, but are not limited to:

● To act as the first point of contact for visitors to Koolkid.

● Support and participate in the preschool delivery of service, research and training and reports to the CEO.

● Maintain all electronic and paper based filing systems regarding to student files, staff files.

● Manage suppliers and contracts

● Process and deliver internal and external mail daily.

● Maintain paperwork regarding budget for operating expenses. Authorise signature for operating line items.

● Prepare any necessary paperwork and compute reimbursement for any financial assistance needed.

● Prepare travel forms as needed.

● Maintain overall management of preschool front office and promote positive public relations in all contacts within and outside the school.

● Support the kitchen and building maintenance staff accordingly

● Identify information in school prospectus or other relevant documents that are out of date and escalate for quick update

● Effective management and coordination of the school‘s appointments

● Identify potential business opportunity and escalate to the sales department accordingly.

● Deal diplomatically with telephone enquiries and visitors to the school

● Take notes of meetings in staff/ PTA meetings and distribute to relevant people

● Assume primary responsibility of the program in the absence of the director.

Educated to degree level.

At least 2 years’ experience of working in a multicultural, globaised environment at front of house.

Strong, skills in languages, English is essential (IELTS 6.5), speaking another language besides Vietnamese and English is a plus (ideally Korean)

Display ability and potential for training and promotion.

Create a personal development plan and work with management to achieve set outcomes.

Excellent verbal communication skills.

Good telephone manner.

Good written skills.

Good interpersonal skills.

Computer literate, with keyboard skills and experience of word processing, (Microsoft Word) combined with ability to acquire other skills as necessary (e.g. databases and spread sheets).

Ability to work on own initiative and take responsibility where necessary as well as work as part of a team.

Smart, business like appearance and attitude.

Open, friendly, outgoing personality.

Ability to work to a high standard (sometimes whilst under pressure).

Commitment to Koolkids’ aims and values.

Assist with photocopying and distribution of information, as required.

Follow agreed procedures and instructions given of the service are adhered to and carried out.

Enter and update data onto electronic and paper based systems.

Attend staff meetings and other meeting as required from time to time.

Participate in rotas to ensure adequate staff coverage during opening hours, including some evenings and weekends when required.

Ensure, at all levels, the maintenance of confidentiality and data protection in relation to mandatory and Koolkid policy.

Assist in the promotion of a fair and quality service that is sensitive and responsive to clients, visitors and other users, ensuring adherence to customer care policies at all times.

Uphold and positively promote equal opportunities in service delivery and employment practices.

Carry out any other duties, which fall within the general areas of responsibility and spirit of this post.
